Bravefit: Process Automation with Microsoft 365 and a Custom AI Agent

From a 360 BPM map to an AI agent with its own name: we identified automation opportunities and their financial benefit, automated operations in Microsoft 365, and replaced slow CRMs with a modern architecture.

Stages: from BPM assessment to an AI agent in production

Bravefit: Process Automation with Microsoft 365 and a Custom AI Agent

Many companies want to "implement AI," but don't know where to start or what return to expect. With Bravefit, we covered the full journey: understanding how the company really operates, deciding what to automate based on financial benefit, building the solution, training the team, and turning the result into an AI agent with its own name and personality that serves customers autonomously.

The Problem: Manual

The Problem: Manual Processes and a CRM Holding Back Growth

Bravefit had a growing operation running on tools that couldn't keep up:

  • Manual, scattered processes: repetitive tasks across teams, duplicated information, and manual follow-up.
  • A slow CRM that didn't scale: expensive to maintain and hard to adapt to how the company actually works.
  • Disconnected information: the plant, operations, and sales teams worked with data stored in different places.
  • No clarity on return: what to automate first, with which technology, and at what cost?
Our Approach: From

Our Approach: From Assessment to Product

1. 360 BPM business mapping

We started by understanding the whole company. We ran a 360 BPM process map: how work flows between teams, who does what, where tasks are repeated, and where time and information get lost.

2. Automation opportunities with financial benefit

With the map in hand, we identified automation opportunities and calculated the monetary benefit of each one. That let us define the technology, the scope, and a viable licensing model for the company: highest-return work first, with no paying for tools it doesn't need.

3. A tailored technology architecture

We designed a technology architecture aligned with what the assessment revealed. It's a modern, custom architecture that lets the company move away from slow, hard-to-scale CRMs and fits Bravefit's real operation, not the other way around.

4. Low-code automation in Microsoft 365

We built the automation low code on Microsoft 365, using tools the team already knew. The operation's key processes now run automatically, with less manual work and fewer errors.

5. An AI agent with a name and personality

We went a step further and productized the solution: we gave it its own name and personality so it can scale and serve customers autonomously. The agent doesn't work in isolation:

  • It connects with the plant and operations to give answers based on what's actually happening.
  • It queries the company knowledge base to respond with official information.
  • It works with SharePoint, lists, and databases to read and update information without manual intervention.

6. A team ready to keep growing

Technology only lasts if people know how to use it. We trained the Bravefit team to maintain, adjust, and expand the automations on their own.

Challenges

Challenges

  1. Prioritizing with numbers: choosing what to automate based on real financial benefit, not gut feeling.
  2. Viable licensing: designing a powerful solution without driving up license costs.
  3. Leaving the CRM without slowing operations: migrating to a new architecture while the business kept running.
  4. Connecting the agent to real operations: integrating it with the plant, SharePoint, lists, and databases so its answers could be trusted.
  5. Adoption: getting the team to own the technology and keep growing it.
Results

Results

  • A company mapped end to end, with automation opportunities prioritized by financial benefit.
  • Automated processes in Microsoft 365 that improve operations without costly extra tools.
  • A modern, company-owned architecture that replaces slow CRMs and scales with the business.
  • An AI agent with its own identity that serves customers autonomously and is connected to the plant, operations, and company knowledge.
  • A trained team that can keep growing the solution without always relying on an outside vendor.
How do you

How do you start automating business processes with AI?

The Bravefit case sums up our method:

  1. Map before you automate: a 360 BPM assessment shows where the real waste is.
  2. Put a price on every opportunity: automate the highest-return work first.
  3. Use what you already have: tools like Microsoft 365 let you automate quickly with viable licensing.
  4. Turn the solution into a product: an agent with a name, a personality, and access to the right data scales far better than a set of disconnected workflows.
  5. Train the team: automation grows when your own people become its builders.
